Import a guest list from CSV
Upload a .csv file of names and phone numbers to build your invite-only list. Excel and Google Sheets can save one.
You can add many invited guests at once by uploading a CSV file. Imported guests go on your invite-only list (Whitelist) and show as No reply yet until they reply.
Plan. Importing is part of the invite-only list, which is included with Host and Organizer.
Prepare your file
- The file must be a .csv file with a header row (column names) as the first row.
- Using Excel or Google Sheets? Save or download your sheet as CSV first. Excel (.xlsx) files can't be uploaded directly.
- Each guest needs a name and a phone number. Email and category are optional.
- Write phone numbers in international format with a leading +, for example +2348012345678.
The quickest way to start is the template: on the CSV tab, select Download template. It has the columns Full Name, Email, Phone and Category.
| Field | Accepted column names |
|---|---|
| Name | Full Name, Name, Guest Name, Guest, Names |
| Phone | Phone, Phone Number, Phone No, Mobile, Mobile Number, Mobile No, Cell, Cell Phone, Telephone, Tel, WhatsApp, WhatsApp Number, Number, Contact |
| Email, Email Address, Mail | |
| Category | Category, Group, Table, Type |
Import it
- Open your event, select the Guests tab, then Whitelist.
- Select the CSV tab.
- Choose your file. A preview of the first rows appears so you can check the columns.
- Select Import (the button shows how many rows it found).
The new guests appear in your list. If some rows were skipped, a message tells you how many and why, for example "Imported 40 guests. Skipped: 2 missing phone, 3 duplicate."
How rows are handled
- Rows without a name are left out.
- Rows without a phone number are skipped, because guests on an invite-only list are matched by phone when they reply.
- Phone numbers are saved exactly as they appear in your file. They aren't reformatted, so a number without a country code stays that way. Numbers without one still work for check-in but can't receive WhatsApp messages.
- Duplicates are found by comparing the last 10 digits of each number with guests already on your list and with earlier rows in the file, so +2348012345678 and 08012345678 count as the same person. Very short or unusual numbers may not be recognised as duplicates, so it's worth tidying your list before you import.
If the import doesn't work
- "No data found in CSV." The file has a header row but no guests underneath.
- "Failed to parse CSV file." The file isn't a readable CSV. Save it again as CSV and retry.
- "No rows had a phone number…" InviteEase couldn't find a phone column. Rename it to Phone.
- "All … guest(s) in this file are already on the whitelist." Everyone in the file is already on your list.
- If nothing appears after importing, refresh the page to check, then try again with a smaller file.
Other ways to add invited guests
On the Manual tab you can add one person at a time; name and phone are required. On some Android phones, you can also pick people from your phone's contacts. Contacts added that way aren't checked for duplicates.
